Finance and Operations Manager

We are currently supporting a US-based logistics company in the search for a full-time Finance and Operations Manager to oversee end-to-end financial operations and shipment billing processes. This person will review every single shipment and dispute any additional charges with carriers. Prepare each shipment to be billed each week. Perform AP and AR. Manage the license and insurance for the company on an annual basis. Handle weekly payroll and manage communications with each state where we run payroll. This position will also manage QuickBooks and reconcile transactions, communicate with our accountant, create invoices every week, and send them out. The only Operations part of this position is processing orders and making shipping documents as necessary.
Key Responsibilities
Finance
- Review every single shipment for quote accuracy and dispute any incorrect charges with carriers
- Prepare each shipment to be billed each week
- Perform AP and AR weekly
- Handle weekly payroll and manage communications with each state where we run payroll.
- Create invoices every week and send them out
- Manage QuickBooks and reconcile transactions on time
- Communicate with our accountant
- Manage the license and insurance for the company on an annual basis
- New Employee Registrations/Screening
- Work with Checkr for background checks
- Quarterly Taxes/1099 forms at the end of the year.
Operations
- Processing new orders by providing a BOL#, PRO#, and Carrier based on preset criteria
- Making shipping documents as necessary
- Any other Operations-related work as advised by the Sr. Operations Manager as it comes up
Required Qualifications
- Must be able to work 11 am to 8 pm EST Monday through Friday.
- Excellent English proficiency (C1 - C2)
- 5+ years of advanced experience managing QuickBooks Online (reconciliations, generating weekly invoices, and managing full-cycle AP/AR)
- Must be able to follow and improve financial SOP's clearly, providing directions as to how each aspect of the job is done.
- Strong analytical skills to audit invoices and the assertiveness to effectively dispute unauthorized or erroneous vendor charges.
- Mandatory experience managing payroll, including an understanding of state-level entity connections, tax withholdings, and compliance.
- Previous experience managing annual business renewals, including corporate licenses, entity registrations, and commercial insurance policies.
- Demonstrated ability to handle highly sensitive financial and employee data with discretion.
- 5+ years of highly detail-oriented operations experience with thousands of products
- 5+ years of experience overseeing and managing vendors
- Must have extensive experience using Gmail, Google Docs, and Google Sheets
- A high degree of accuracy is required to ensure no mistakes are made as we work with many numbers and orders for each shipment. Accuracy in your work is highly important.
- Excellent written and spoken English, with a focus on negotiating with US vendors and resolving charge disputes independently.
Work Environment
You will be working completely remote using Gmail for business. Most of the work is done on Google Docs and Google Sheets. All other software will be provided access to. You will utilize a VPN for all of your work. All training will be done through video calls. We work in a fast-paced environment and frequently get interrupted in the middle of meetings by customer needs.
