Project Scheduling Coordinator (Bilingual English/Spanish)
· Roofs in a Box is hiring a Project Scheduling Coordinator to support one of our clients, a well-established U.S.-based residential roofing company. This role is critical to ensuring roofing projects move smoothly from permit approval through final completion.\nRoofs in a Box is hiring a Project Scheduling and install coordinator to support our client, a well-established U.S.-based residential roofing company. This role is vital to ensuring the smooth execution of roofing projects.This role is the operational heartbeat between permits, scheduling, crews, and installs. \nThe job is simple to say and hard to execute: keep jobs moving, crews informed, and installs clean, on time, and organized. This role owns scheduling flow and daily install coordination so production does not stall and chaos does not creep in. This is not sales. Not project management. Not finance. It is execution and coordination.\nThis role requires full professional fluency in English and Spanish, as daily communication with U.S.-based clients, vendors, and internal teams is conducted in English.\nCore Responsibilities\nScheduling Ownership\n Own the schedule once permits are approved.\n Schedule installs efficiently based on crew availability, materials, and priority.\n Coordinate roofing, gutters, metal, soffit, fascia, and follow-up work.\n Adjust schedules quickly when weather, materials, or crews shift.\n Ensure no job sits idle due to lack of scheduling follow-up.\nDaily Install Ops Communication\n Speak with install teams every morning to:\n Confirm what is being installed that day.\n Identify blockers before crews arrive on site.\n Handle admin or coordination issues so crews can just install.\n Be the main point of contact for install-related questions during the day.\n Escalate issues early, not after something breaks.\nJob File Accuracy (JobNimbus CRM)\n Review each job before scheduling to ensure:\n Scope is clear.\n Materials are ordered.\n Permits are approved.\n Crew instructions are correct.\n Flag missing or incorrect info and chase it down.\n Keep job notes, dates, and statuses clean and current.\nCustomer Scheduling Communication\n Communicate install dates and timing windows to customers.\n Handle reschedules professionally and calmly.\n Keep customers informed without overpromising.\n Reduce inbound calls by being proactive.\nWarranty & Follow-Up Coordination\n Track and schedule warranty work.\n Coordinate crews for punch list or repair items.\n Ensure warranty work is documented and closed out properly.\nWhat This Role Does Not Own\n Selling or upselling.\n Job costing or financial reporting.\n Crew payroll or compensation.\n Contract negotiation.\nThis role supports these areas through clean scheduling and communication but does not carry\nthe accountability.\nRequired Skills & Qualifications\nExperience: Minimum of 3 years in project coordination, scheduling, or project management (construction industry strongly preferred).\nLanguage Requirement (Mandatory):\nFluent, professional-level English and Spanish (spoken and written).\nThis role is NOT SUITABLE for candidates with basic or intermediate English.\nEducation: Bachelors degree preferred (Business Administration, Construction Management, Engineering, or related fields).\nTechnical Skills:\nExperience with JobNimbus or similar construction CRM / project management tools.\nStrong working knowledge of Google Sheets and Microsoft Excel.\nCommunication: Ability to communicate professionally with U.S.-based stakeholders, vendors, and crews.\nOrganization: Proven ability to manage multiple projects and priorities simultaneously.\nAnalytical Skills: Comfortable with budgeting, cost tracking, and reporting.\nProblem-Solving: Capable of resolving scheduling, delivery, and compliance issues efficiently.\nIndustry Knowledge (Preferred): Roofing materials, construction terminology, and Florida permitting processes.-Requerimientos- Educación mínima: Universidad / Carrera Profesional
