Role Purpose

The Logistics & Trade Operations Coordinator is responsible for managing and overseeing import/export processes, customs documentation, and logistics operations to ensure seamless movement of goods in compliance with Free Zone and DIAN (Colombian Customs Authority) regulations. The role also supports reporting, process optimization, and stakeholder engagement to improve operational efficiency.



Key Responsibilities



Customs and Free Zone Compliance

  1. Maintain accurate records and documentation for all import and export operations in alignment with Free Zone and DIAN requirements.
  2. Prepare, file, and track customs declarations and support documentation for inbound and outbound shipments.
  3. Serve as the key liaison between the company and customs/free zone officials, ensuring timely issue resolution and regulatory compliance.
  4. Participate in anti-narcotics inspections and manage the collection of physical documents and release payments (e.g., Bills of Lading).


Import & Export Operations

  1. Coordinate logistics for import and export container collection, ensuring timely national and international dispatches.
  2. Oversee warehouse operations, including loading/unloading supervision, space optimization (tally list), and document verification for successful dispatch.
  3. Ensure proper handling and documentation of local product shipments (e.g., iron, steel, zamak, aluminum extrusion).
  4. Manage the VUCE (Single Window for Foreign Trade) platform for export procedures.


Data & Reporting Management

  1. Develop and maintain up-to-date Excel reports and dashboards for real-time visibility on shipments, documentation, and customs activities.
  2. Ensure all shipment data is accurately recorded and maintained on Monday.com and other internal operations platforms.
  3. Prepare and present operational reports related to Free Zone activities to senior management.


Process Improvement & Stakeholder Engagement

  1. Continuously identify areas for process optimization in logistics, customs, and document handling.
  2. Train relevant personnel in Free Zone operations and compliance processes.
  3. Build and manage relationships with international ocean and air freight carriers to secure competitive rates and optimized delivery timelines.
  4. Lead efforts in designing and implementing systems that enhance shipping rate visibility and delivery performance.


Shipment Coordination & Documentation

  1. Ensure full lifecycle coordination of global shipments, including reverse logistics where applicable.
  2. Maintain comprehensive and organized shipment records from origin to final destination, ensuring traceability and compliance.



Qualifications:


  1. Bachelor’s degree in Business Administration, Logistics, Supply Chain Management, International Trade, or a related discipline.
  2. Minimum of 3 years of proven experience in logistics coordination, customs operations, or international trade—preferably within a Free Trade Zone environment.
  3. Demonstrated experience handling import/export documentation, customs declarations, and regulatory compliance with DIAN and free zone procedures.
  4. Basic proficiency in English (spoken and written).
  5. Fluency in Spanish is essential.
  6. Proficiency in Microsoft Excel and the ability to maintain dynamic and accurate reporting tools.
  7. Experience using Monday.com or similar workflow/project management platforms is an advantage.
  8. Familiarity with VUCE (Single Window for Foreign Trade) and customs software platforms.
